Notes in Advising Gateway

Notes in Advising Gateway (Previously Advisor Notes System or ANS) is a note keeping database for student interactions within the Advising Gateway. Authorization to Notes is separate from authorization to the Advising Gateway. Notes in Advising Gateway was designed with two primary goals in mind:

  1. To enhance the ability of advisors to support students by providing users interaction history and enabling interactions with to take place within a meaningful context
  2. To capture data and make the available information useful for assessment at multiple levels across campus

While Notes in Advising Gateway was originally designed to meet undergraduate advising and career services needs, it can be used by graduate and professional advisors to document contacts with their advisees.

Attend a Notes in Advising Gateway Orientation Session

To become an authorized user of Notes in Advising Gateway you need to attend a Notes 101 orientation session. Any faculty or staff member who has a work purpose under FERPA to access individual student advising notes for their work are eligible to become authorized to use Notes in Advising Gateway. At this time undergraduate student employees are not eligible to use the system.

What to Expect at Notes 101

The orientation session will provide you with:

  • An introduction to Notes in Advising Gateway
  • A live demonstration including navigation and record entry
  • Guidelines for use of the system focused on writing and interpreting appointment notes
  • Many opportunities for you to get your questions about the system answered

Once you have attended a Notes 101 orientation session, you will be authorized to access and begin using Notes in Advising Gateway. 

Like the Student Information System (SIS), Notes in Advising Gateway (and the Advising Gateway through which it is delivered) is an official student record system. As a result, the information you will be able to access from within the system is classified as FERPA-protected student record information.
